Is GPS tracking of employees legal

How GPS time tracking is set up in Taskloc: the employee starts every session, nothing is collected outside it, and every view of their location is logged.

Updated:

Whether GPS time tracking is lawful depends on your jurisdiction and on how your company introduces it, so the legal basis is set by the employer's own internal policy. What Taskloc controls is the product side: location is recorded only inside a session the employee starts, nothing is collected outside it, the employee can see who viewed their location, and data is stored on servers in Russia.

This page is not legal advice. It describes how the product works. Your lawyer or HR team prepares the policy, consent and any other documents.

Who is responsible for the personal data?

Your company. The employer decides whom to track, what to record and who sees it; Taskloc is the tool it uses. Taskloc does not provide ready-made policy wording.

When does the app record location?

Only during an active tracking session on a specific task. The employee starts the session with the "Start" button; outside a session the app does not collect location at all. GPS tracking is off by default in the app.

This limit is built into the code, not just promised: stop the session and no new points are recorded, and the employee disappears from the live team map. Details — Privacy → What is collected.

Who can see an employee's route?

  • The employee — all of their own data.
  • A manager — only if the organization has turned on Team online, only during an active or paused session, and only when they share a project in the tracker.
  • The organization's owner and admins — according to the organization's access policies.

There are no ad networks and no third-party analytics. Full list — Privacy → Who sees the data.

Can an employee see who viewed their location?

Yes. Every time someone else opens their location data, the server logs it: who, when, in which role and what they opened. Only the employee sees this log — in the app (Settings → Tracking → Who viewed my location) and on the profile page of the web dashboard. Entries are kept for a year. Details — Who viewed my location.

Where is the data stored, and for how long?

On the Taskloc server — PostgreSQL in the Russian Federation. With the self-hosted option, data stays on your company's own server.

DataRetention
GPS sessionsFree — 90 days, Team — 365 days
GPS track points365 days

The employee can delete any session earlier from "Routes". Full table — Retention periods.

Geofences and the visit log are off by default. The visit log is turned on with a separate consent in the app; the employee turns geofence reminders on in settings.

What can employees do with their data?

View their routes, delete any session, sign out, or delete the account entirely. Requests for access, correction, export or withdrawal of consent go to support@taskloc.com. Details — Your rights.
