Creating an organization and invitations

How to create a team organization, invite employees and assign roles

To see employees on the map and in the statistics, you first need to build a team: create a team organization and invite people into it. This page is about the setup. Viewing the map and the statistics is described in Team.

Personal and team organizations

After your first sign-in you already have a personal organization — it is for working alone, it cannot be deleted and you cannot invite others into it.

To work with a team, create a separate team organization. Members, roles and the Team tab appear in it.

Where to find it

Open the profile menu (account) → Manage organizations. Here you see the list of your organizations, the create button and incoming invitations.

You switch between organizations with the organization switcher in the app header. The active organization is remembered separately on each device.

While you have only one personal organization, the switcher and the management buttons are hidden — the interface is in simple mode. As soon as a second organization appears (or you become an owner or admin), the app reveals them by switching to Advanced mode, see Simple and Advanced mode.

Creating a team

  1. Open Manage organizations.
  2. Tap New organization (the button with a "+").
  3. Enter a name → Create.

The new organization is a team organization. You automatically become its owner.

Inviting an employee

Invitations are sent by the owner or an admin.

  1. Open the organization → Invite member.
  2. Enter the person's email and choose a role.
  3. Confirm the consent to personal data processing (required by Russian law 152-FZ) and tap Invite.

Which email to use

It is the email the person uses to sign in to Taskloc (or will sign up with).

  • If they already have a Taskloc account, the invitation appears right in the app, in Manage organizations.
  • If they do not have an account yet, an invitation link is sent to that email. Following it, the person creates an account and lands in the organization straight away.

One email — one pending invitation to an organization. You can send it again once the previous one has been accepted, declined or revoked.

Accepting an invitation

The invited person sees an Invitations line with a counter in Manage organizations. Inside are the Accept and Decline buttons.

After Accept, the person becomes a member of the organization, and the manager sees them in the Team tab (if the visibility conditions are met — see Team).

Roles

MemberA regular employee. There is no Team tab.

The role is set when inviting and can be changed by the owner or an admin in the organization card.

Besides roles, the owner and admins can limit what members do in the app — forbid editing and deleting tasks, GPS tracking, hide sections. This is configured separately, see Team policy.

Deleting an organization

A personal organization cannot be deleted. A team organization can be deleted only by its owner — its members then go back to their personal organizations.
