Weeek time tracking with GPS: time entries logged from the field

Updated:

Weeek has its own timer, and at a desk that is enough. On the road, at a customer's site or with no signal, nobody starts a timer in a browser — the hours get typed in later from memory.

Taskloc is an Android app that sits on top of your Weeek. The employee picks a task, starts a GPS session, and the app records time, route and the on-site visit. When the session stops, a real Weeek time entry is added to the task — the same kind you get when logging time by hand. Your tasks stay in Weeek.

Why Taskloc if Weeek already has a timer

  • Mobile. Weeek tasks, session start and stop, comments and column changes — in one phone app.
  • Offline. With no signal, tasks, comments, status changes and session start/stop keep working and are queued; the time entry reaches Weeek when the connection is back.
  • GPS. The route of each trip, mileage and an on-site check-in per task. Weeek has no routes and no location on tasks.

How it works

  1. Issue a personal token. In Weeek: workspace settings → API. No administrator needed; the API is available on all Weeek plans.
  2. Connect. In the app: "Add tracker" → Weeek → paste the token. No address to enter — Weeek has a single cloud.
  3. Start a session on a task. Time and route are written automatically; a check-in records the visit.
  4. Stop, and the time entry is there. A comment and a column change go to the same task.

The entry is a proper object in Weeek's time log with its own ID, not a line in a comment. Any Weeek report built on time entries picks these hours up with no extra setup.

What managers get

  • Time entries recorded while the work was happening, not reconstructed at the end of the week.
  • Time on site and travel time — separately, for every task.
  • The route of each trip on a map, mileage as a number.
  • A check-in as proof of the visit: location, geofence, route.
  • A live team map and per-employee reports in the web dashboard, which runs in the browser.

Limitations of the Weeek connector

  • Time entries are per day. One Weeek entry covers a single day, so a session that crosses midnight is written as several entries — one per day.
  • One workspace per device. Connecting a second workspace replaces the first one.
  • The task description is accepted by Weeek only at creation; it cannot be changed from the app later.
  • Auto status change on start is configured by column name. If the task's board has no such column, the status does not change and the app shows the refusal.
  • A task with no board has no status; the app shows an empty status rather than guessing a column.
  • No idle auto-pause: pauses are set in Taskloc only.

Privacy

The employee starts the GPS session. Outside an active session the app does not collect location at all: stop the session and you disappear from the team map. Who sees what is set by team policies.

The Weeek token stays on the employee's device, and the app reads and writes tasks directly in Weeek. The Taskloc server never receives it.

Weeek questions

Do we need an administrator to connect Weeek?

No. Each employee issues their own personal token in workspace settings → API. The API is available on all Weeek plans.

What happens when a session runs past midnight?

Weeek keeps a time entry within one day, so the app splits the session into several entries, one per day. The total hours on the task are the same.

How does the app read a task's status?

In Weeek the status is the board column. Completing is a separate action — a task can be completed in any column, and the app shows it that way.

A task sits in several projects — which status do I see?

In a list filtered by project, the app shows the task's status in that project.

Is there an iPhone app?

No. The field app is Android-only; the manager's web dashboard opens in any browser, including on a phone.

Who it's for

Teams that run projects in Weeek and work away from the office: service and maintenance, installation, field specialists, agencies working at the client's site. If visits are the core of the job and the tracker is secondary, see field employee tracking and field service visit tracking.

Try it on your Weeek

Connect Weeek, install the app on one phone and take one task from the start of a session to the time entry appearing in Weeek. Free works forever for one seat; the Team trial gives 14 days and 3 seats, once per account, with no card required. When the trial ends, the account moves to Free — nothing is charged.

Team is paid with Mir cards issued in Russia and the CIS and via SBP, or — with a card issued by a foreign bank — by a one-off Robokassa invoice: contact us and we will send a payment link.
