Megaplan time tracking with GPS: worked time on the task, no manual entry

Updated:

Megaplan keeps tasks and projects in order, but it can't see where the work happened or how long it took when the person was away from the office. Taskloc is an Android app on top of your Megaplan. The employee opens a task, starts a GPS session, and the app records time, route and the on-site visit. When the session stops, the worked time goes to the task.

Your tasks stay in Megaplan. There is no second task system and nothing to migrate.

Why field time in Megaplan is hard to trust

  • The task is completed, but whether the technician was at the customer's is known only to the technician.
  • Worked time is typed in afterwards, from memory, for the whole day at once.
  • Travel to the customer and work on site end up as one figure.
  • The day's route is not kept anywhere.

How it works

  1. Connect. Your portal address (for example, account.megaplan.ru), plus the login and password of your own account. No portal administrator is needed.
  2. Start a session on a task. The employee opens one of their tasks and starts a GPS session.
  3. Let it record. Time and route are written automatically. A check-in records the visit — location and geofence.
  4. Stop, and the time is on the task. When the session stops, a comment with the worked time and date is added to the task.

How time reaches Megaplan, in plain words

The Megaplan API has no separate time-entry object. So Taskloc writes time where Megaplan itself accepts it: the session duration goes to the task as a comment with worked time and date, together with the completion note — one comment. Megaplan counts such comments as the task's worked time.

The time of day ("9 to 2") does not go to Megaplan — only the duration does. The full picture of the shift — start, end, route — stays in Taskloc and is visible in its reports.

What managers get

  • Worked time on the task, recorded while the work was happening, not reconstructed on Friday.
  • Time on site and travel time — separately, for every task.
  • The route of each trip on a map, mileage as a number.
  • A check-in as proof of the visit: location, geofence, route.
  • A live team map and per-employee reports in the web dashboard, which runs in the browser.

Limitations of the Megaplan connector

  • Tasks cannot be created from the app. The "+" button does not appear on the list for Megaplan — create tasks in Megaplan itself.
  • Time is a comment, not a separate entry. That is how the Megaplan API works: it has no time-entry object.
  • Automatic status change on tracking start and stop is off. Megaplan changes status through actions and does not return the list of allowed actions via its API, so the app does not guess an action by its name.
  • The assignee cannot be changed from the app — assign people in Megaplan.
  • There is no system priority field. If your portal has priority as an additional field, it is available as a tracker field.
  • No idle auto-pause: pauses are set in Taskloc only. Server-side auto-pause with notes on the issue is a Redmine connector feature — see time tracking for Redmine.
  • Cloud Megaplan with an address like <account>.megaplan.ru is supported.

Setup guide: connecting Megaplan.

Privacy and access to your Megaplan

The employee starts the GPS session. Outside an active session the app does not collect location at all: stop the session and you disappear from the team map. Who sees what is set by team policies.

On the password: connecting uses the real password of your Megaplan account, but the app does not store it. The password is exchanged with the portal for an access token, and only the token stays on the device. The app reads and writes tasks directly in Megaplan.

Questions about Megaplan

Do we need to install anything on the Megaplan portal?

No. Taskloc is not a portal extension — it's a mobile client on top of it. Each employee connects their own account in the app, and the app acts on their behalf, with their permissions.

Does the app keep my password?

No. The password is exchanged for an access token, and only the token stays on the device. The token renews itself as long as you open the app regularly.

Why can't I create a task from the app?

Task creation is not supported for Megaplan. Create tasks in Megaplan — they will show up in the app's list.

Why doesn't the status change on its own when a session starts?

Megaplan changes status through actions and does not return the list of allowed actions via its API. To avoid picking the wrong action, automatic status changes are off for Megaplan. Change the status manually — with the same action you would use on the portal.

Is there an iPhone app?

No. The field app is Android-only; the manager's web dashboard opens in any browser, including on a phone.

Who it's for

Teams that track tasks in Megaplan and still go to customers: service and installation, implementation, field maintenance. If visits are the core of the job and the tracker is secondary, see field employee tracking and field service visit tracking.
